We are currently hiring a Client Services and Operations Manager, Part-Time

Reporting to: Owner

Compensation: $25/hr on 1099 basis, with growth potential to annual salary TBD.

Hours: Flexible, daytime hours starting at 10 hrs/week, with increased hours depending on success.

Location: Hybrid and flexible remote: One day/week (4-5 hours) in a small office in Orange or Ulster County, New York, and at home for the remainder.

Purpose of the position: to support our small but growing estate planning law firm with operations and client services, on a part-time basis. The work will be split between interfacing with prospects and clients in a sales and support role, and business and administrative operations to keep the workflow steady and smooth.

Key Responsibilities & Duties:

CLIENT SERVICE:

Manage the entire client experience from beginning to end of their engagement with the firm, including tracking and managing the status of each client matter, and accurately and concisely communicating status and needed next actions, deadlines, and meeting dates. This starts with client pipeline development and nurturing, responding to inquiries over the phone and face-to-face from the staff and public, and continues with various tasks through intake processes, document collection, interviews, meetings, document drafting, completion of binders, signing ceremonies, and post-signing tasks.
Competency required: excellent communication skills including conflict resolution and a friendly manner, organizational skills, understanding of confidentiality.

BUSINESS OPERATIONS:

A variety of admin and business tasks including: perfecting systems operations across multiple technology platforms; developing and maintaining processes from start to finish; creativity in design, planning, and arranging things efficiently such as checklists, road maps, and progress/workflow assessments; keeping track of everything and making sure that nothing falls through the cracks and that data and information is tracked and captured in our systems; managing complex information including client database, digital and paper filing systems, confidential legal documents, and correspondence; limited bookkeeping support (we have an outside bookkeeper doing most of the work); managing business scheduling including client meetings, marketing presentations with local partners, referral relationship meetings and maintaining contact with past clients.
Competency required: Excellent organizational skills and attention to detail, and a strong level of comfort and confidence in learning new technology platforms.

Academic Qualifications

  • College or associate degree required.
  • Paralegal or business operations training is a plus.

Work Experience and Skills

  • Socially intelligent with great people skills, with a strong ability to communicate clearly and effectively, both verbally and in writing, across a variety of audiences.
  • 3-4 years of work in a client and deadline-driven office preferred.
  • 2-3 years mid-level project management experience required.
  • Significant experience in customer and client service required.
  • Excellent communicator in both written and oral form. Comfortable speaking on the phone and with clients face-to-face. Strong knowledge of business English in composition to include correspondence, reports, and various other materials.
  • Strong understanding of confidentiality and experience working with confidential information.
  • Independent self-starter who likes to solve problems and can balance various responsibilities. Ability to work independently with minimal instructions. Ability to prioritize workload based on internal and external customer needs.
  • Some bookkeeping and QuickBooks experience preferred.
  • Affinity for technology, technological savvy, ability to handle working with several different databases of information, loves to learn new tech solutions to organize processes. Not intimidated by learning new technology.
  • Experience in MS Word, Excel, Powerpoint, Gmail, Google Calendar, Dropbox and Google Drive required.
  • Experience in legal software Clio, Wealth Counsel a big plus, but can be learned, however, basic experience in CRM / business software is required.
